InsightQRy ("we", "us", "our") operates the InsightQRy platform at insightqry.com. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.

2. Information We Collect

Account Information

When you create an account, we collect your name, email address, and password (stored as a salted hash). We never store passwords in plain text.

Uploaded Content

Documents you upload (PDFs, Word files, images, etc.) are processed to extract text and create vector embeddings for AI retrieval. Uploaded files are stored in Azure Blob Storage and vector embeddings are stored in Pinecone.

Chat Data

Messages exchanged between visitors and your AI assistants are stored to provide conversation history. Visitor chat sessions do not require an account — visitors are identified only by an anonymous session ID.

Usage Data

We automatically collect basic usage information such as IP addresses, browser type, pages visited, and timestamps. This data is used for service improvement and security.

If you subscribe to our newsletter, we collect your email address. You can unsubscribe at any time.

3. How We Use Your Information

To provide, operate, and maintain the InsightQRy platform
To process your documents and power AI assistant responses
To authenticate your account and manage sessions
To send service-related communications (e.g., verification emails)
To send newsletter updates (only if you opt in)
To monitor and improve service performance and security

4. Third-Party Services

We use the following third-party services to operate InsightQRy:

Microsoft Azure — hosting, blob storage, and document intelligence (text extraction)
OpenAI / Azure OpenAI — language model for AI assistant responses
Pinecone — vector database for document retrieval

Your data is transmitted to these providers only as necessary to deliver the service. Each provider has its own privacy policy governing how they handle data.

5. Data Retention

We retain your account data and uploaded content for as long as your account is active. When you delete an assistant, its associated documents and chat history are permanently removed. When you delete your account, all your data is permanently deleted.

6. Data Security

We implement appropriate technical and organisational measures to protect your data, including encrypted connections (HTTPS/TLS), secure password hashing, and HTTP-only authentication cookies. However, no method of electronic transmission or storage is 100% secure.

7. Cookies

We use strictly necessary HTTP-only cookies for authentication (access and refresh tokens). We do not use tracking cookies, advertising cookies, or third-party analytics cookies.

8. Your Rights

You have the right to:

Access, update, or delete your account information
Delete your uploaded documents and assistants at any time
Request a copy of your personal data
Withdraw consent for newsletter communications
Request account deletion

9. Children's Privacy

InsightQRy is not intended for use by anyone under the age of 16. We do not knowingly collect personal data from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered users of material changes via email. The "last updated" date at the top of this page indicates when the policy was last revised.
